PT Software UK: Personal Trainer Software Compared 2026

By the FitDesk team. Last updated: . Competitor prices were checked on 29 September 2026 (My PT Hub on 16 October 2026). We make FitDesk, so we say so up front, and we have tried to describe every option fairly using its own public pages.

There is no single right choice for every trainer. The right software depends on how many clients you have, whether you meet them in person or online, how you get paid, and whether you need a native app today. This guide compares eight options on the things UK PTs ask us about most, with sources and a date so you can check us. To work out what you should charge, try our PT pricing calculator.

Quick answer. For an independent UK PT who wants bookings, packages and card payments without a monthly fee, FitDesk, Foundations and FitPros.io all offer a no monthly fee way to start (FitPros.io has a paid Pro Tools tier). If you want native apps for your clients today, look at Trainerize, Everfit, TrueCoach or PT Distinction.

PT software UK: what to look for

  • Getting paid into a UK bank account. Most of these tools use Stripe. Stripe lists 1.5% + 20p for standard UK cards (stripe.com/gb/pricing, checked 2 October 2026), and that applies on top of any fee from the software.
  • Pricing in pounds. On the pages we checked, Trainerize, My PT Hub, PT Distinction, TrueCoach and Everfit list prices in US dollars (Everfit lists its UK card processing rates in pounds). Check the currency on your own invoice.
  • A free way to start. Some have a free plan, some only a trial. Trials end, so check what happens afterwards.
  • Native apps or web app. Some clients want an app in the App Store. FitDesk is a web app today, with a native app not yet available.
  • Fees on payments. A monthly fee, a percentage on each card payment, or both.
  • Cash payments. Many UK PTs still take some sessions in cash. Ask whether recording them costs anything.

How to choose in ten minutes

  1. Count your clients. A free plan capped at 1 or 5 clients may run out quickly if you already have more clients. Plans priced by client count grow with you.
  2. Decide on a native app. If your clients insist on an App Store app today, filter to the options that have one.
  3. Add up payments. Work out your monthly card takings and your cash share. A percentage fee, a flat add on and Stripe's own fees all behave differently.
  4. Try two for two weeks. Run three real clients through each and see which removes admin instead of adding it.
  5. Check the exit. Look at the cancel terms and whether you can export your client list.

Frequently asked questions

Do personal trainers need to register for VAT?

You must register for VAT if your taxable turnover for the last 12 months goes over £90,000, or you expect it to go over £90,000 in the next 30 days. You can register voluntarily below that. Ask an accountant how VAT applies to your sessions and how to show it on your invoices.

How do I choose personal trainer software in the UK?

It depends on your clients and how you get paid. Independent PTs who want bookings and card payments without a monthly fee can look at FitDesk, Foundations and FitPros.io. Trainers who need native apps today can look at Trainerize, Everfit, TrueCoach or PT Distinction. Compare on client cap, payment fees and app needs.

Is there personal trainer software with no monthly fee?

Yes. FitDesk has no client cap. No monthly fee. 0.7% on Stripe card payments through FitDesk, minimum 1p per card payment. Stripe's own fees still apply. Cash has no FitDesk fee. Foundations lists no monthly fees. FitPros.io has a free plan with unlimited clients. Trainerize and Everfit have free plans for 1 and 5 clients. All checked 29 September 2026.

How much does personal trainer software cost?

It ranges from free to well over $100 a month for larger client numbers. On the pages we checked, paid plans start, on monthly billing, at $10 a month for Trainerize Grow ($9 on annual billing), $19 for Everfit Pro ($16 annual), $19.90 for PT Distinction, $25 for My PT Hub and $29.98 for TrueCoach ($26.34 annual), all in US dollars. Card payments carry extra fees. Checked 29 September 2026 (My PT Hub on 16 October 2026).

Do personal trainers pay fees on card payments?

Usually yes. Stripe charges its own fee, listed at 1.5% + 20p for standard UK cards, and some software adds its own: FitDesk and Foundations 0.7%, Trainerize a $10 monthly payments add on, Everfit a $9 monthly add on. Cash payments recorded in FitDesk have no FitDesk fee. Stripe's own fees still apply to every card payment.

Do I need a native app for my clients?

Not always. A web app works in any mobile browser with no download, which suits many in person clients. Online coaching clients often expect an App Store app. FitDesk is a web app today, and a native app is not yet available. Trainerize, Everfit, TrueCoach and PT Distinction list native iOS and Android apps.

How do I switch personal trainer software without losing clients?

Keep your old tool running while you set up the new one. Add your client list, invite clients with a link, rebuild your templates and run three real clients through it for two weeks. Cancel only when you are happy, and check your agreement for notice periods first.

Which PT software works in pounds?

The existing comparison table does not confirm which tools support charging clients in pounds. It lists monthly software prices in US dollars where stated, so check the payment currency with each provider before choosing.
