What a PT booking app should do
Whatever tool you choose, check that it covers these jobs:
- Let clients book without messaging you. They should see only the times you are free and the session types you offer.
- Handle packs and credits. Many PTs sell blocks of sessions, so the app should keep track of how many are left.
- Keep everyone informed. Clients and trainers should get a notification when a session is booked or cancelled.
- Take payment. Booking and payment in one place means fewer awkward conversations about money.
- Fit your policy. Your cancellation and no-show rules are yours, so the software should work with them rather than replace them.
A note on the search term: "PT booking app" can also mean an app that clients use to find a trainer. This page is for trainers who want to take bookings from their own clients. FitDesk is booking and business software for you, not a directory where clients search for a trainer.
How booking works in FitDesk
Set your availability and session types
You publish your working hours and the session types you offer. Sessions can be one-to-one, consultation or group sessions. Clients book from your scheduler, and you do not need to reply to every request to agree a time. If you prefer to approve bookings yourself, requests can wait for your approval.
Clients book and cancel
Clients choose a free time and book it themselves, and they can cancel from their own account. The scheduler only offers the times you have marked as available.
One calendar for every session type
One-to-one, consultation and group sessions sit in the same calendar, and you can set up repeat weekly bookings for clients who train at the same time each week. FitDesk does not include its own video calling, so if you train clients online, use the video tool you already use. For more on the diary itself, see the personal trainer calendar app.
Booking and cancellation emails
When a session is booked or cancelled, the people involved get an email, as long as their email notifications are switched on. You can also see everything in your dashboard.
Session packages and credits
Sell a pack of sessions and keep track of how many each client has left. The dashboard shows who has lapsed and who owes you money.
Paying for sessions
Clients can buy a session package or pay an invoice by card through Stripe, or you can email an invoice with a payment link. Payments go through your own Stripe account, so card payments settle into your own bank account on Stripe's payout schedule. Cash payments can be recorded in the app. Read more on Stripe for personal trainers.
FitDesk does not offer automatic recurring billing and does not support direct debit. If you want a client to pay each month, you send a monthly invoice or sell a new package. The personal trainer payment system page explains the options in full.
A personal trainer scheduling app that also runs the coaching
If you search for online PT software in the UK, you usually want more than a diary. FitDesk keeps the coaching side in the same place as the bookings:
- Workout programmes: build a template once and assign it to any client.
- Progress tracking: weight, body measurements and progress photos.
- Messaging: in-app chat, so client conversations stay out of your personal WhatsApp.
- Check-ins and habits: habit tracking, intake forms and challenges for coaching between sessions.
For the full feature picture, see personal trainer software for UK PTs. For the client experience, see the personal trainer app for clients.
Cancellations and no-shows
Your cancellation and no-show policy is set by you. FitDesk applies the notice window and late cancellation setting you choose, and shows them to your clients before they book. You decide the rules. Decide your rules first and tell your clients before they book.
Set your own cancellation notice window and policy text. Your clients see them on their sessions and before they cancel. For what UK consumer law says about notice periods, charges and packages, read our personal trainer cancellation policy guide.
Do you need a general scheduling tool or PT booking software?
A general appointment scheduler is a reasonable choice if all you need is a link that lets people pick a time. It becomes awkward when you also sell session packs, track credits, send workouts and take card payments, because you end up joining several tools together. PT booking software keeps those jobs in one record per client. If you are comparing options, our comparison of personal trainer software in the UK uses each provider's own public pages and is dated.
What a PT booking app costs with FitDesk
FitDesk is a platform for personal trainers with no client cap and no card needed to sign up. No monthly fee. 0.7% on Stripe card payments through FitDesk, minimum 1p per card payment. Stripe's own fees still apply. Cash has no FitDesk fee.
Worked example (illustration only). A client pays £50 for a session by standard UK card. FitDesk's fee is 0.7% of £50, which is 35p. Stripe lists 1.5% + 20p for standard UK cards (stripe.com/gb/pricing, checked 3 October 2026), which is 95p on £50. The total in fees is £1.30, and you receive £48.70. Stripe's rate depends on the card type and can change. If the same client pays you in cash, there is no FitDesk fee.
Who FitDesk suits, and who should look elsewhere
FitDesk is a good fit if you are an independent UK PT or run a small coaching business, you want booking, packages and card payments in one place, and a web app that works in a mobile browser is enough for your clients.
Look at other tools first if:
- You need a native app that clients download from the app stores today. A native iOS or Android app is not available yet.
- You need an app listed under your own brand name in the app stores. FitDesk does not offer that today.
- You need automatic monthly collection from clients. FitDesk does not support direct debit and does not offer automatic recurring billing.
- You need video calling built into your booking software. FitDesk does not include its own video calling.
How to get started
- Create your FitDesk account. No card is needed.
- Publish your availability. Add your working hours and session types.
- Connect Stripe. Connect your own Stripe account so card payments go to your bank, and add your session packages.
- Add your clients. Send your invite link and let them book.
