Personal trainer software

Personal trainer software for UK PTs with no monthly fee

Last updated: . Competitor prices were checked on 29 September 2026 (My PT Hub on 16 October 2026). FitDesk is our product, so we say so up front. Where we compare it with other tools, we use each provider's own public pages and link them.

Independent trainers often run a business from a diary, a spreadsheet, a WhatsApp thread and a banking app. Good PT software puts those jobs in one place, so a session is booked, paid for and logged without you chasing anyone. This page explains what personal training software does, what FitDesk includes, exactly what it costs, and when another tool may suit you better.

Short answer. FitDesk is personal trainer software for UK PTs, with no monthly fee and no client cap. It covers online booking, client management, session packages, workout programmes, progress tracking, messaging and Stripe card payments. FitDesk charges 0.7% on Stripe card payments (minimum 1p). Stripe's own fees still apply. Create your FitDesk account.

What is personal trainer software?

Personal trainer software (also searched as "PT software" or "personal training software") is a tool for running the business side of personal training, and often the coaching side too. Most tools cover the same core jobs:

  • Booking and scheduling: clients book sessions online and you avoid double bookings.
  • Client management: one record per client with history, notes, goals and progress.
  • Payments and invoices: taking card payments, selling session packs and sending invoices.
  • Programming: building workouts and assigning them to clients.
  • Communication: messaging in one place.

A note on the name: "PT" also means physical therapy, and some search results for "pt software" are about that. In this guide, PT software means software for personal trainers.

What FitDesk includes

FitDesk is a web app for UK personal trainers and coaches. Everything below is included with no monthly fee.

Online booking and scheduling

Publish your availability and session types, and clients book from your scheduler. Times that are already taken are not offered to clients, and clients get an email confirmation when they book. One-to-one sessions and group sessions sit in the same calendar.

Client management

Keep each client's sessions, package credits, progress and messages together. Intake forms, habit tracking and challenges are available for coaching between sessions. Client accounts are free.

Payments, packages and invoices

Connect your own Stripe account. Clients pay by card through Stripe, and the money settles into your own bank account on Stripe's payout schedule. You can sell session packages (credits are used when a session is booked and returned if it is cancelled) and send an invoice by email with a payment link. Cash payments can be recorded in the app. Read more on Stripe for personal trainers.

Workout programmes and progress

Build a programme once, save it as a template and assign it to any client. Change the template and linked client plans update. Clients log sets, reps and weights, and you can track weight, body measurements, progress photos and personal bests.

Messaging

In-app chat with attachments and email notifications keeps client conversations out of your personal WhatsApp.

Data protection

Users can export their data and delete their account. Our privacy policy, data processing agreement and impact assessment are published. Read more on how UK GDPR applies to client health data.

The ICO says sole traders and businesses that use personal information must pay a data protection fee unless they are exempt. A personal trainer keeping client records on a computer or phone is likely to need to pay. Our guide to GDPR for personal trainers explains who needs to pay and what to do with health data.

What personal training software costs with FitDesk

There is no monthly fee for PTs: no subscription, no client cap and no card needed to sign up. The only FitDesk charge is 0.7% on Stripe card payments (minimum 1p). Stripe's own fees still apply. Cash payments have no FitDesk fee.

Worked example (illustration only). A client pays £50 for a session by standard UK card. FitDesk's fee is 0.7% of £50, which is 35p. Stripe lists 1.5% + 20p for standard UK cards (stripe.com/gb/pricing, checked 2 October 2026), which is 95p on £50. The total in fees is £1.30 and you receive £48.70. Stripe's rate depends on the card type and can change, so check Stripe for your own rate. If the same client pays you cash, there is no FitDesk fee. Stripe's own fees still apply to card payments.

FitDesk is made by Pickle Labs Collective Ltd, Tewkesbury, UK. Sources: trainerize.com/pricing and ptdistinction.com/pricing, checked 29 September 2026; mypthub.net/pricing, checked 16 October 2026. FitDesk is not affiliated with any of them. Foundations, another UK tool, also lists a 0.7% platform fee (usefoundations.app, checked 29 September 2026), so FitDesk is not the only one at that rate. FitPros.io also has a free plan, and its Pro Tools tier lists 0% commission on selling programs (fitpros.io, checked 29 September 2026). Stripe's own fees still apply to card payments on every platform.

Who FitDesk suits, and who should look elsewhere

FitDesk is a good fit if you are an independent UK PT or a small coaching business, you want bookings, packages and card payments without a monthly fee, and a web app that works in a mobile browser is enough.

Look at other tools first if:

  • You need a native app your clients install from the app stores today. FitDesk's native app is not available yet.
  • You need an app listed under your own brand name in the app stores. FitDesk does not offer that today.
  • You need a payment method other than Stripe card payments or cash records.

How to get started

  1. Create your FitDesk account. No card is needed.
  2. Connect Stripe. Connect your own Stripe account so card payments go to your bank.
  3. Set up your sessions. Publish your availability and session types, and add your session packages.
  4. Add your clients. Import or add your clients, assign a workout template and send your invite link.

Frequently asked questions

What does FitDesk cost with 20, 30 or 50 clients?

The same at any client count, because there is no client cap. No monthly fee. 0.7% on Stripe card payments through FitDesk, minimum 1p per card payment. Stripe's own fees still apply. Cash has no FitDesk fee. So your FitDesk fee depends on what clients pay by card, not on how many clients you have.

£1,000£7.00, plus Stripe's own fees
£3,000£21.00, plus Stripe's own fees
£5,000£35.00, plus Stripe's own fees

Where is my client data stored?

FitDesk's main database is hosted in the EU (Sweden), on encrypted disks run by Supabase. Some of our providers may process data outside the UK, and our privacy policy lists them. We publish a data processing agreement and a data protection impact assessment. You are still the controller for your clients' data, and FitDesk does not make you compliant.

Who makes FitDesk?

FitDesk is run by Pickle Labs Collective Ltd, a UK company based in Tewkesbury, and was founded in 2026. It is personal trainer software for independent UK personal trainers and fitness coaches, with bookings, client records, workouts, progress tracking, messaging and Stripe card payments.

What is personal trainer software?

Personal trainer software, also called PT software or personal training software, is a tool that helps independent trainers run their business online. It usually covers client records, session booking, workout programmes, progress tracking, messaging and payments, so a trainer can replace spreadsheets, diaries and chasing invoices with one system.

What does PT software mean?

In this guide, PT software means software for personal trainers, not physical therapy or practice management software. It helps a personal trainer manage clients, bookings, workouts and payments. If you searched for physical therapy tools, this is not that. FitDesk is built for personal trainers and coaches in the UK.

Is there personal trainer software with no monthly fee in the UK?

Yes. FitDesk has no monthly fee, no client cap and no card needed to sign up. FitDesk charges 0.7% on Stripe card payments (minimum 1p), and Stripe's own fees still apply. Cash payments have no FitDesk fee.

How much does FitDesk charge on card payments?

FitDesk charges 0.7% on Stripe card payments, with a minimum of 1p per card payment. Stripe's own fees still apply and depend on the card. Cash payments recorded in FitDesk carry no FitDesk fee. There is no monthly subscription and no client limit on the platform.

What should personal training software include?

Look for online booking that only offers free times, session packages with credits, card payments into your own bank account, reusable workout templates, progress tracking, client messaging and clear data protection. Check how each tool charges for payments and whether a native app is available today, because both affect what you pay and how clients use it.

Can clients book and pay online with FitDesk?

Yes. You publish your availability and session types, and clients book from your scheduler. They pay by card through Stripe, and the money settles into your own Stripe account and bank. You can also email an invoice with a payment link, and record cash payments.

Does FitDesk have a mobile app?

FitDesk works as a responsive web app in any mobile browser on iOS and Android. A native installable app is not available yet. If you need an app listed under your own name in the app stores today, check that before you choose any personal trainer software.

Can I move my clients from another PT app to FitDesk?

Yes. Keep your old tool running while you set up FitDesk. Connect your own Stripe account, publish your availability and session types, import or add your clients and assign a workout template. Cancel the old tool only when you are happy, and check its notice terms first.
